Purpose:
Use this process when you need to create a new, not-yet-budgeted position (Faculty, Adjunct, Staff, or Temporary) in Workday. This is different from filling an existing vacant position.
When to Use
- You are requesting to hire for a new position that does not currently exist in Workday.
- The position is for Faculty, Adjunct, Staff, Temporary, or Work-Study.
How to Create the Requisition
In Workday, use the search bar to find Create Job Requisition.
- Select Create New Position and Employee as the worker type.
- Confirm your Supervisory Organization is correct.
- Complete the Recruiting Details section:
- Update number of openings if needed.
- Choose Post for Competitive Fill and Post Internally and Externally (unless internal-only is appropriate).
- Enter current dates for both Recruiting Start Date and Target Hire Date.
- Complete Job Details:
- Select the appropriate Job Family (e.g., Faculty → Teaching Faculty).
- Choose Worker Sub-Type, Time Type, and Primary Location.
- Add Organizational Information:
- Enter Cost Center (e.g., your department).
- Confirm Fund and Functional Classification are correct.
- Contact the Budget Office if unsure.
- (Optional) Upload supporting attachments such as a revised job description or justification.
- Assign a Primary Recruiter (HR Employment Representative) and, if needed, a Recruiting Coordinator.
- Review your requisition and click Submit.
What Happens Next
- The requisition routes automatically through your Manager’s Approval Chain, then to Compensation and Budget for review.
- Once approved, the Primary Recruiter posts the job.
- You’ll be notified when the position is active for recruitment.
Tips:
Only one role should be assigned per person in the recruiting roles section.
Add notes to HR in the Comments field before submitting.
Use “Save for Later” if you need to pause and return to your draft.
