Create Job Requisition for Existing Position

Use these steps to create a job requisition for an existing Faculty, Adjunct, Staff, or Temporary position in Workday.


1. Start the Requisition

  1. In the Workday search bar, type Create Job Req.

  2. Select Create Job Requisition.

  3. Confirm the Supervisory Organization (your department).

    • If incorrect, click the prompt icon to select the correct one.

  4. Choose one:

    • For Existing Position – to post one position.

    • For Multiple Existing Positions – to post several.

Note: A vacate date must be entered on all positions before proceeding.


2. Select the Position

  • For Existing Position:

    1. Use the prompt icon to locate your unfilled job title.

    2. Select the title, choose Employee under Worker Type, then click OK.

  • For Multiple Existing Positions:

    1. Select OK, choose a Defaulting Position, and select all additional positions.

    2. Click OK again.

All positions must share the same Job Profile and Time Type as the default.


3. Enter Recruiting Information

  1. In Recruiting Details, click the edit icon.

  2. Under Recruiting, select Post for Competitive Fill.

  3. Choose Post Internally and Externally.

    Use Post Internally Only for non-leadership positions with strong internal candidate pools.

  4. Enter:

    • Recruiting Start Date – current date.

    • Target Hire Date – same as start date.

    Target End Date is not required.

  5. Click Next.


4. Complete Job Details

  1. Click the edit icon to update Job Details.

  2. Enter the Job Posting Title and Justification.

  3. Select the appropriate Job Family (e.g., Faculty > Teaching Faculty).

    • The Job Profile will auto-populate.

  4. For Full-Time Faculty, include the contract length in the Job Description.

    Only full-time faculty positions require this.

  5. Use prompt menus to complete:

    • Worker Sub-Type (Faculty, Adjunct, Staff, Temporary, Work Study)

    • Time Type (Full-time or Part-time)

    • Primary Location (auto-fills the primary posting location)

    • Additional Locations (optional)

  6. Click Next.


5. Add Organizational Details

  1. Enter Cost Center (e.g., Mathematics).

    • The Fund and Functional Classification should auto-populate.

    • If not:

      • Select FundEducation & General.

      • Select the correct Functional Classification.

      If unsure, contact the Budget Office for guidance.

  2. Click Next.


6. Add Attachments (Optional)

  • Click Add to upload supporting documents such as:

    • Job description edits

    • Additional justification or details

  • Click Next.


7. Assign Roles

Assign roles now or later in the recruiting process.

Each person should be assigned only one role.

  • Primary Recruiter:

    • Click Add, select Primary Recruiter, and enter the name.

    • This is typically your HR Employment Representative.

  • Recruiting Coordinator (Optional):

    • Click Add, select Recruiting Coordinator, and enter the name.

    • This role is often assigned to an Administrative Assistant or Lab Coordinator.

Click Next.


8. Review and Submit

  1. Review all requisition details.

  2. Add optional comments to HR in the Comment field.

  3. Click Submit.

Job Requisitions route through the manager’s approval chain, then to Compensation and Budget for review before posting.

You may also choose Save for Later or Cancel if the requisition is no longer needed.
