How to Reduce My Google Workspace Storage

Overview

This guide provides step-by-step instructions for identifying and removing unnecessary or large files from Google Drive, Gmail, and Google Photos.

Regularly reviewing your Google Workspace storage can help you remain below ACC's 25 GB storage limit, which takes effect December 1, 2026.

Important: Before deleting College-related content, review applicable records-retention requirements. Do not delete official College records solely to reduce storage usage unless the records are eligible for destruction.

Additional Storage Management Tips

The following additional tips are helpful to consider:

  • Review your storage regularly instead of waiting until your account approaches 25 GB.
  • Start with large files, videos, and email attachments, which can have a significant impact on storage usage.
  • Empty Trash and Spam after deleting unnecessary content.
  • Carefully review files before permanently deleting them.
  • Follow ACC records-retention requirements before deleting official College records.
  • Move personal, non-ACC content to an appropriate personal storage location.
  • Allow time for Google to update your storage usage after large-scale deletions.

Allow Time for Storage to Update

After deleting a large amount of data and emptying Trash, Google may need time to update your storage usage.

If your account remains full after approximately 30 minutes, review Google's advanced cleanup and storage management guidance.

For large-scale deletions, storage updates may take 48–72 hours.
