How to submit an Employee Onboarding Request

This article provides step-by-step instructions on how to submit an IT Onboarding Request using the TeamDynamix (TDX) / ACC IT Portal. Submitting a request ensures proper review, approval, and fulfillment of new hire and backfill hire needs.

 

Steps

The Onboarding Request form is used to support new employee setup after confirmation from HR of a new hire. If you have questions about what equipment is provided to new hires, please refer to the Onboarding Computer Equipment Guide KB Article

 

Once you have received confirmation of a new hire, submit this form to:

  • Grant system access and create the new user account

  • Request required hardware (e.g., new employee computers)

Requests for onboarding-related hardware should be submitted through this form, not the Technology Hardware Request form. To submit a request for new or replacement hardware, please review the KB article for How to Submit an IT Hardware Request for New and Replacement Technology.

 


 

Important Requirement

  • You must have an ACCeID for the new employee to complete this form.

  • If the new hire is a contractor, board member, or individual not eligible for an ACCeID, please follow the link to the Courtesy Access Form

 


 

Who Is Eligible to Use It?

  • Managers with a confirmed new hire

  • The new hire must already have an assigned ACCeID

 


 

 

How to Submit an Employee Onboarding Request

Follow the steps below to complete and submit an Employee Onboarding Request form.

 


 

Step 1: Access the Onboarding Request Form

Step 2: Complete Ticketing Details

  • Subject: This will auto-populate as Employee Onboarding Request Form

  • Employee’s Manager: Enter or confirm the manager’s name

 


 

Step 3: Enter Login Request Information

Provide the new employee’s basic information:

  • New User First Name

  • New User Last Name

  • ACCeID (Example: A1234567)

  • Is this person a contractor? (Select Yes or No)

  • New User Email Address

  • Classification

  • Department

  • Employee Title

  • Employee Start Date (MM/DD/YYYY)

  • Location of New Employee (Campus)

  • New Employee Building and Room Number

    • Example:  HLC Building 3k Room 3110 or 3.3110

  • Department Share Path & Name

    • Example: \\acc.austincc.edu\files$\MyTeam

  • Login Type

 


 

Step 4: Complete Hardware Request Information

Fill out hardware-related fields for the new employee:

  • Is this position grant-funded? (Select Yes or No)

  • Do they need a laptop or a desktop?

    • Desktop

    • Laptop

    • No Computer Needed

  • Is this a backfill or a new position?

    • Backfill

    • New Position

 


 

Step 5: Review Your Information

  • Double-check all required fields (marked with an asterisk *)

  • Ensure accuracy, especially for:

    • ACCeID

    • Start date

    • Hardware selection

    • Location details

 


 

Step 6: Submit the Request

  • Click Submit to send the onboarding request

  • The appropriate team will begin processing the request

 


 

Important Notes

  • You must have the employee’s ACCeID before submitting this form

  • Use this form for new employee setup and onboarding-related hardware requests

  • Do not use the Technology Hardware Request form for new hires

 


 

What Happens Next

  • The request will be reviewed and processed by the support team

  • Accounts will be created and access provisioned

  • Hardware requests will be fulfilled based on the information provided
